This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit the laundrylink.com website (the “Site”), use our route laundry equipment installed at participating properties, or otherwise engage with our services. Please read this policy carefully. If you disagree with its terms, please discontinue use of our Site and Services.

This Privacy Policy should be read in conjunction with our Terms and Conditions. Capitalized terms not defined in this Privacy Policy have the meanings given to them in the Terms and Conditions.

1. Information We Collect

We may collect information about you in a variety of ways depending on how you interact with us. The types of information we collect fall into the following categories:

1.1 Information from Property Owners and Property Managers

When you inquire about or engage our route laundry services, we may collect:

• Contact information: Name, email address, telephone number, and mailing address.
• Business information: Property name, property address, number of units, property type (apartment, hotel, etc.), and information about existing laundry facilities.
• Financial and billing information: Bank account or payment details necessary for revenue-share disbursements. We collect only the information required to process payments and may use secure third-party payment processors to handle transactions.
• Contractual information: Information contained in your Services Agreement, including revenue-sharing terms, equipment inventory, and service history.

1.2 Information from End Users

When you use laundry Equipment installed by Laundry Link at a participating property, we may collect:

• Transaction data: Machine usage records, including the date, time, location, machine identifier, cycle type, and payment amount for each transaction.
• Payment information: If you pay by credit card, debit card, stored-value card, or mobile payment through a Third-Party Payment Provider, the payment provider — not Laundry Link — processes and stores your payment card details. Laundry Link receives only anonymized or aggregated transaction records for the purpose of revenue collection and reporting. We do not directly collect, store, or have access to your full payment card number.
• Mobile app data: If you use a Third-Party Payment Provider’s mobile application (such as Kiosoft or Airwallet) to pay for laundry services, that provider may collect additional information about you in accordance with its own privacy policy. We encourage you to review the privacy policy of any Third-Party Payment Provider before using its services.
• Support inquiries: If you contact us to report an Equipment issue or request a refund, we may collect your name, contact information, property location, and details about the issue.

1.3 Information Collected Automatically from Site Visitors

When you visit the Site, our servers may automatically collect:

• Device and browser information: IP address, browser type and version, operating system, and device type.
• Usage data: Pages visited, time spent on pages, referring URL, and the pages you viewed before and after accessing our Site.
• Location data: General geographic location inferred from your IP address.

2. How We Use Your Information

We use the information we collect for the following purposes:

• Providing and managing services: To deliver, install, maintain, and service Equipment at participating properties; to process revenue collections and distribute profit-share payments to Property Owners; and to respond to service requests and Equipment issue reports.
• Communicating with you: To respond to inquiries, send service-related communications (such as maintenance notifications or revenue reports), and provide customer support.
• Processing transactions: To process payments for Equipment usage and to manage the financial aspects of our revenue-sharing arrangements with Property Owners.
• Improving our services: To monitor and analyze usage patterns, Equipment performance data, and Site traffic to improve our services, optimize Equipment placement, and enhance the user experience.
• Marketing and promotions: With your consent where required by law, to send promotional communications about our services. You may opt out of marketing communications at any time (see Section 6).
• Legal compliance and protection: To comply with applicable laws and regulations, to enforce our Terms and Conditions and Services Agreements, to prevent fraud, and to protect the rights, property, and safety of Laundry Link, our partners, and others.

3. How We Share Your Information

We do not sell, trade, or rent your personally identifiable information to third parties. We may share information we have collected in the following circumstances:

3.1 With Property Owners and Property Managers

We share aggregated Equipment usage data and revenue reports with Property Owners as part of the route laundry program. These reports contain transaction volumes and revenue totals but do not include personally identifiable information about individual End Users.

3.2 With Third-Party Payment Providers

When End Users pay for laundry services using cashless payment methods, transaction data is shared with the applicable Third-Party Payment Provider to process the payment. These providers operate under their own privacy policies.

3.3 With Service Providers

We may share your information with third-party vendors that perform services on our behalf, including payment processing, website hosting, data analytics, email delivery, and customer support. We enter into data processing agreements or equivalent contractual protections with service providers that process personal information on our behalf. These agreements require providers to process data only for specified purposes, implement appropriate security measures, and notify us of any data breach.

3.4 For Legal Purposes

We may disclose your information if required to do so by law, or if we believe in good faith that disclosure is necessary to comply with a legal obligation, protect and defend our rights or property, prevent fraud, or protect the personal safety of our users or the public.

3.5 In Connection with Business Transfers

If Laundry Link is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify affected parties of any change in ownership or use of personal information.

4. Cookies and Tracking Technologies

We may use cookies, web beacons, and similar tracking technologies on our Site to help customize and improve your experience.

We retain your information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Specifically:

• Property Owner data: Retained for the duration of the Services Agreement and for a period of three (3) years following termination, or longer as required for tax, legal, or regulatory purposes.
• End User transaction data: Retained in aggregated or anonymized form for revenue reporting and service improvement purposes. Individual transaction records are retained for up to two (2) years.
• Site visitor data: Retained for up to one (1) year from the date of collection.
• Marketing consent records: Retained for as long as the consent remains valid, plus a reasonable period to demonstrate compliance.

When personal information is no longer needed, we will securely delete or anonymize it.

6. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

• Access: The right to request a copy of the personal information we hold about you.
• Correction: The right to request correction of inaccurate or incomplete personal information.
• Deletion: The right to request deletion of your personal information, subject to certain legal exceptions (such as data required for tax or regulatory compliance).

Laundry Link does not sell personal data. To exercise these rights, contact us using the information in Section 11. We will respond within 45 days of receiving a verified request. If we deny your request, you have the right to appeal by contacting us, and we will respond to the appeal within 60 days.

California Residents

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale or sharing of personal information. Laundry Link does not sell personal information. To exercise your rights, please contact us using the information in Section 11.

7. Security of Your Information

We use administrative, technical, and physical security measures to protect your personal information. These measures include encryption of data in transit, access controls, and regular security assessments. While we take reasonable steps to safeguard your information, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

In the event of a security breach affecting your personal information, we will notify affected individuals and relevant authorities as quickly as possible, and in any event within the timeframes required by applicable law, including the Texas Identity Theft Enforcement and Protection Act (Tex. Bus. & Com. Code § 521.053). For Property Owners, breach notifications will be provided within seventy-two (72) hours of our becoming aware of the breach, or as otherwise specified in the applicable Services Agreement.

8. Children’s Privacy

Our Site and Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information promptly. If you believe we have collected information from a child under 13, please contact us using the information in Section 11.

9. Third-Party Websites and Services

Our Site may contain links to third-party websites, and our Equipment may integrate with Third-Party Payment Providers. This Privacy Policy does not apply to information collected by third parties. We encourage you to review the privacy policy of every third-party service you use, including any Third-Party Payment Provider application used to pay for laundry services.

We may update this Privacy Policy from time to time. The updated version will be indicated by an updated “Last Updated” date at the top of this page and will be effective as soon as it is accessible. We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information.
